Participants

A participant is a user, a person who is granted access rights to work in Keruj. In simple words, it is you and your employees

Location

"Participants" are located on the left navigation panel, in the "Data" section

The list of participants is displayed in a table format. Its appearance can be customized according to your own criteria using filters, columns, and other tools

Creation

You can create a new participant by clicking the "+" on the navigation panel or the "+Add" button on the main page of the module

Participant creation form:
  1. First Name - the user's full name according to the identity documents

  2. Last Name - the user's last name according to the identity documents

  3. Display Name - the username that will be displayed in Keruy™. The value may not correspond to official data (for example, Vasyl - Vasya)

  4. Date of Joining - this is the date of employment of the employee

  5. Date of Birth - the date of birth of the employee

  6. Role - defines the level of access to the space according to the function performed by the employee in the company. Three roles are available: employee, manager, and owner, but you can create your own unique roles in Keruy™

  7. Position - the job position of the employee in your company (for example, sales representative, cashier, administrator, etc.)

  8. Manager - senior supervisor (this field is optional)

Participant card

The participant card contains a number of tabs located in the top menu that form the main page of the record, and an "Archive" function button in the top right part of the page

  1. General

    The main page, where full information about the selected participant is available: their personal details, position, role, manager, recent documents, and overall activity analytics

  2. Accounting

    Data on financial transactions. You can view all documents relating to or created by the participant

    Existing documents are displayed in a table format. In addition to viewing, you can create a new document by clicking the "+Create" button

Please note: operations with documents are only available for counterparties. You can create a counterparty-employee for a participant in one click. To do this, click the "+Create" button

  1. Work rates

    A tool for setting the cost of an employee's work to ensure correct payroll calculation

    Work rate settings
    1. From - the date of adding the record about the employee's rate

    2. Type - the method of payroll calculation. It can be hourly or monthly

    3. Hours/day - the duration of the working day/week

    4. Internal - rate for work performed within the enterprise

    5. External - rate for field work performed off-site

    6. Overtime - rate for performing overtime work

    In addition to setting the length of the working day and the size of the wage rates, you can define individual working days for the employee. There can be several work rate records, which allows you to analyze and compare them with each other


  2. File library

    An archive of uploaded files or images, used for storing scans of documents and other important files related to the participant


  3. Access

    A tool for setting up the employee's access to your Keruy™ portal


  4. Details

    A tab for editing or adding basic information about the participant. Here you can change personal data, position, role, assign a warehouse, department, responsible person, and account to the participant

Granting access to a participant

To grant access to a new participant, in the "Access" tab, enter the participant's phone number and click the "Allow" button

The invited user will receive an SMS message on their device containing information about the access configuration and an active link to your Keruy™ portal

The data and modules available to the user depend on the role and access rights granted to them when creating the record

For users who have access to the portal, two additional tabs are automatically activated in the card - "Sessions" and "Devices". Thanks to them, you can track the duration of the participant's active sessions in the portal, as well as view the devices from which the authorization was performed

API Key

For developers, it is possible to generate a key for access via our public API

Participant authorization

In Keruj, every user has a username and password to log in. The login is the user's phone number, and the password is generated by the service during each authorization. After entering the phone number, the invited user will receive an SMS message with a one-time password to log in

Deleting a participant

A participant cannot be deleted - they can only be moved to the archive. Thanks to this, you will not lose important information and will be able to view or restore it at any time
