Contracts

Contracts is a section in Keruy™ where record-keeping of concluded agreements between the company and its counterparties is maintained. Legal details of the parties, terms of validity, and general contract information are recorded here

Its purpose:

  • ensuring legal certainty in relations with counterparties

  • monitoring contract expiration dates

  • using the contract as a basis for creating related documents

  • systematization and analysis of operations associated with the contract

Location

"Contracts" are located on the left-side navigation panel under the "Data" section

The list of contracts is displayed in a table format. Its view can be changed to suit your preferences using filters, columns, and other tools

Creation

You can create a new contract by clicking "+" on the navigation panel or the "+Create" button on the section's home page

If a contract needs to be associated with a specific counterparty and used for mutual settlements with them, it can be created directly within the counterparty card
Form for creating a contract:
  1. Name - contract name according to its purpose (supply, lease, purchase and sale, etc.)

  2. Number - contract number according to the registry

  3. From - contract date of conclusion

  4. Until - contract expiration date

  5. Notes - additional information regarding the contract

  6. Legal entity - registered legal entity of your company, on behalf of which the contract is concluded. It must first be added in legal entities settings

  7. Account - bank account of the legal entity used in the contract. It must first be added in accounts settings

  8. Counterparty details - a section containing legal data of the counterparty, according to the state registry (USR), with whom the contract is concluded

Filling in all form fields is optional, but the more information you enter, the more complete and informative your database in Keruy™ will be

Contract card

The contract card consists of two blocks: a list of documents created based on the contract, and a block containing general information about the contract added during record creation

If necessary, this block can be edited and the contract can be linked to a counterparty

Contracts in documents

A contract for the selected counterparty can be added to a document during its creation or editing

If needed, you can navigate directly to the contract card from the document

Analytics by contracts

It is especially convenient to analyze the execution of contract agreements in reports. To do this, go to reports by counterparty, and in the "Grouping" field, add the "Contract" column

Keruy™ will display complete analytics of income and expenses, grouped by relevant contracts

Archiving a contract

If a contract has expired or is no longer relevant, but you need to keep all data, it can be moved to the archive

Deleting a contract

Subject to appropriate access rights, a contract can be deleted. Deletion is only possible if no documents are linked to the contract. The delete function is available in the record edit form
